A CRM built around how your business actually works

Ryzenforge builds custom CRMs for small businesses: your pipeline, your fields, your follow-ups, your reports, with WhatsApp or SMS automation built in, hosted and maintained for you. Setup from $2,000, then $99 to $199 a month. Two weeks to go live.

Who it is for

  • Insurance agents and financial advisors with renewals, reviews and follow-ups that depend on somebody remembering.
  • Contractors with estimates, jobs and invoices living across a phone, a truck and a spreadsheet.
  • Clinics with appointments, reminders and intake forms that still arrive by hand.
  • Agencies with a pipeline, retainers and a monthly report to write.
  • Any team where per-user pricing on HubSpot or Salesforce bites with every hire.

What is included

  1. 01Pipeline stages that match how your team really sells, with lead capture from your site, ads, SMS and WhatsApp.
  2. 02Contacts and companies, with the history in one place.
  3. 03Tasks and follow-up reminders that chase themselves.
  4. 04Invoices, payments and receivables raised from the deal.
  5. 05Reports: dashboards and a daily brief on email, SMS or WhatsApp.
  6. 06Automation: follow-ups, reminders and confirmations on your own number.
  7. 07Onboarding: we import your spreadsheets or the tool you are leaving, map your stages, and run the two side by side until your team trusts the CRM.

RyzenOS as the base

RyzenOS is the CRM Ryzenforge runs its own company on: clients, leads, projects, invoices, expenses, attendance and reports, connected to WhatsApp agents that capture updates and push a daily brief. It is multi-tenant with a subdomain per client, on a React front end with a Node.js and PostgreSQL back end, hosted and supported by the team that built it. Every client CRM is built on it and tailored to the client's process, which is why a RyzenOS-based CRM goes live in two weeks rather than two months.

A note on compliance

We take advice before promising anything regulatory to financial-services clients. If your state or regulator has rules on where customer data lives, how long records are kept or what must be disclosed, we write them into the scope and the hosting plan before work starts, and we say so when something is outside what we can promise.

What the first two weeks look like

The scope call fixes what the first version must do, usually pipeline, contacts, tasks, follow-ups, users and roles, and the price is fixed before work starts. We import your existing leads, customers and invoices from spreadsheets or the tool you are leaving, map your stages to the pipeline, and run the two side by side until your team trusts the CRM. Roles and permissions go in from day one, so a salesperson sees their deals and the owner sees the whole month. Invoices, reports and automation follow in phases, each quoted before it starts, and hosting, backups, monitoring and support sit inside the monthly fee.

A worked example, start to finish

Northgate FreightWorked example: a forwarding agent with twelve staff

An illustration of the scope, not a client. Real work is in the case studies.

  1. 01Brief

Enquiries in three inboxes, quotes in spreadsheets, and no way to see which jobs were open without asking around the office.

  2. 02Build

A CRM shaped to the business: enquiry to quote to job to invoice, each with its documents, reminders and owner, WhatsApp and email in the timeline, and reports the directors read on Monday morning.

  3. 03Launch

Design agreed before code, built in phases with a fixed price each, tested on the staff's own devices, data migrated from the spreadsheets, the team trained in the office.

  4. 04ResultOne screen

Every open job, its stage and its money on one screen, with the source code and the hosting in the company's own name.

Work in this lane

Proof

Auxin Shipping, a ship chartering business, runs its HR and sales on a Ryzenforge CRM with vessel operations following in phase 2. The LIC agents app, built by the same team, is opened by 2,000+ people every day. RyzenOS itself handles Ryzenforge's real money and real deadlines, which is a stricter test than any demo. US proof first: AI Venture Catalyst, a professional services site rebuilt on React and Node.js and deployed on a VPS (aiventurecatalyst.com), and Vibe and Vision Productions, audio visual and DJ services in Austin, Texas.

The seven steps, every time

  1. 01Approval and scope: a 30-minute call and a one-page scope, 70 percent to start.
  2. 02Domain and hosting: in your name. We set them up; the costs are listed as external.
  3. 03Design: homepage first, then the rest. Your first revision round.
  4. 04Build: pages, forms, messaging, payments, admin. Content loaded.
  5. 05Testing and revisions: real phones. Three revision rounds in total.
  6. 06Payment and handover: 30 percent at launch. Source code and every account handed over.
  7. 07Care: updates, backups, uptime and speed checks, small changes, monthly. Or a walkthrough and goodbye.

Questions we get asked

Why not HubSpot or Zoho?

For a standard process they are a good fit and we will tell you so. Custom wins when your process is unusual, when per-user pricing bites as the team grows, or when the system must talk to SMS or WhatsApp and your billing your way.

Who owns the data?

You. The CRM runs on a subdomain of your own, the data stays on a server you control, and you can export it at any time.

We run on spreadsheets. How do we move?

We import your existing leads, customers and invoices, map your stages to the pipeline, and run the two side by side until your team trusts the CRM.

How long does it take?

Two weeks to go live on RyzenOS with your pipeline, contacts, tasks and follow-ups. Invoices, reports and automation follow in phases, each quoted before it starts.

What does it cost?

Setup from $2,000, then $99 to $199 a month hosted and supported. No per-user pricing.

We are in financial services. Can you meet our rules?

We take advice before promising anything regulatory. Data location, retention and disclosures go into the scope before work starts, and we say so when something is outside what we can promise.
